Multi-company QuickBooks reporting dashboard

Better consolidated reporting without the cost and disruption of replacing a finance system that was still working.

The challenge

A multi-currency group used QuickBooks across several separate entities but relied heavily on Excel for consolidation and group reporting. Producing management accounts, comparing companies and analysing client and department profitability required time-consuming manual work each month.

The objective

Build a more efficient reporting solution over the existing QuickBooks data, avoiding the disruption, cost and retraining involved in moving to a new ERP system.

The solution

A structured SQL reporting layer and management dashboard brought together every transaction from multiple QuickBooks companies in one consistent format, while retaining transaction-level drill-down to the source.

The outcome

With all companies held in the same reporting structure, the group gained exceptionally flexible reporting. Results can be analysed and combined by company, currency, class, department, customer, account, period or other available data—without rebuilding the source information for each report.

Once transactions from every company are standardised in a shared reporting layer, new reports, comparisons and drill-down views can be developed around changing management needs—not limited by the reporting available within each individual QuickBooks company.

Selected advanced functionality without a full ERP replacement.

The platform could be extended to automatically create and post corresponding intercompany transactions back into each relevant QuickBooks company. For example, where an employee’s salary needs to be allocated between group entities, it could calculate the allocation and post the relevant cost and intercompany entries into each company—subject to approval and reconciliation controls.
